Creating a goal plan
The PaySuite application lets you, as an HR manager with the Goals professional role, create goal plans that centralize goals pertaining, for instance, to the same domain of application or organizational unit. As part of a goal plan, you can add the various goal types that you have previously created and bring them together under a single umbrella.
Step 1 - Goal plan details
To create a goal plan, proceed as follows:
-
Click Create goal plan in the upper-right corner of the Goal Plans page. The Create goal plan form opens at the first step, Goal plan details, for example:
Goal plan details step
-
Select the type of periodicity you want to apply to the goal plan in the Period section:
Select Recurring to give the goal plan a recurrence frequency. If you select this option, you will then need to select a start date for the plan and a recurrence (Year, Semester, Quarter, or Month). With this configuration, new goal plans are created for users at the selected frequency, from the original start date.
Select Fixed if you want the goal plan to run once over a limited period. If you select this option, you will then need to select a start date and an end date for the goal plan.
Enter a name for the goal plan in the Name field.
If you previously selected the Recurring option, choose the Start date and select the Recurrence type from the drop down list. If you selected the Fixed option, choose the Start date and End date.
Specify additional owners in the Plan owners section by entering their name in the search field and then selecting the person in the search results. Keep in mind that if you do not add additional owners, only you will be able to manage (edit and publish) the goal plan.
Toggle Hide goal results until published if you want to keep goal results entered by managers hidden from workers until the goal plan is published. This applies to all organizational goals, as well as to individual goals whose progress and measurement criteria can only be edited by managers.
In the Plan transmission section, you can check the box called Send goal PDF to Documents and then, from the drop-down list, select the communication round it will refer to.
Click Next in the progress widget to move to step 2 of the goal plan creation form: Population.
Step 2 - Population
Once you have entered the basic information for the goal plan, you need to define its target population; in other words, the managers and workers who will be able to select this goal plan when creating a goal.
To define the target population of a goal plan, proceed as follows:
-
In the Include section of step 2, Population, build a condition that will filter out the target group for the goal plan, as illustrated in the image below:
Population step
If you want to include one or several organizational units, open the Organization drop-down list and check the boxes corresponding to all the units to be included. Click All organizational units to select all available organizational units at once.
If you want to include one or several specific locations, open the Location drop-down list and check the boxes corresponding to all the locations to be included. Click All locations to include all available locations at once.
If you want to include one or several specific roles, open the Role drop-down list and check the boxes corresponding to all the roles to be included. Click All roles to include all available roles at once.
Keep in mind that this method creates a restrictive (AND) condition, meaning that the more criteria you select in the drop-down lists, the fewer workers will be included, because only the workers meeting all criteria will be included.
Click Add on the right of the row of the drop-downs. A badge containing your selection is added below the row.
Repeat steps 1-2 to make another selection. If you add several selections, an inclusive (OR) condition is then applied between them: to be included, a worker must meet only one of the selections.
If you want to include specific workers by name, type their name in the Individuals workers field and then click the name in the list of results. Workers added via this method will be included in the list of recipients regardless of whether they satisfy the criteria defined above.
If you want to explicitly exclude workers, roles, organizational units, or locations, apply steps 1-4 in the Exclude section of the form.
Click Next in the progress widget, on the right side of the form, to move to step 3 of the goal plan creation process: Goal types.
Step 3 - Goal types
Once you have defined the population for your goal plan, you need to add goal types to the plan. In step 3 of the goal plan creation process, you are presented with a table containing all the currently available goal types, along with their creation date, owners, and status (Draft or Published), as you can see in the following figure:
Goal types step
To add goal types to your goal plan, proceed as follows:
Locate among the available goal types the item that you want to add to the goal plan, or click Create goal type to create and publish a new one without leaving the goal plan creation form.
Check the box next to each goal type that you want to add to the goal plan. You can select more than one goal type. You can also edit and view goal types by clicking the three-dot icon on the right of the row and selecting Edit or View. Clicking the goal type name directly also opens the view modal window.
If you selected Fixed as the period in step 1, click Next in the progress widget, on the right side of the form, to move to step 4 of the goal plan creation process: Weighted goals. If you selected Recurring, Goal types is the last step of the process; click Create instead to publish the goal plan.
Step 4 - Weighted goals
In the last step of the goal plan creation process, Weighted goals, you decide whether the goals created under this plan should carry a specific weight, and who is allowed to adjust that weight.
To configure goal weighting, proceed as follows:
-
In the Weighted goal configuration table, locate the goal type that you want to configure. Each row displays the goal type's workflow section and its name, as presented in the illustration below:
Weighted goals step
Toggle Enable weighting to enabled for the goal types that should carry a weight.
In the Weighting permission column, select who is allowed to edit the weight of goals of this type. For individual goal types, choose Worker and/or Manager of the worker; for organizational goal types, Owner is always selected and cannot be removed, and you can additionally select Manager of the worker.
Repeat steps 1-3 for every goal type that you want to weight.
Toggle Allocate weights to each workflow section to enabled if you want to distribute a percentage weight across the enabled goal types and, if applicable, individual goals.
For each row displayed, enter a percentage in the Section weight field. The cumulative weight of all rows must equal 100% before you can publish the goal plan; the current total is displayed at the bottom of the table.
Click Create in the bottom-right corner of the progress widget, on the right side of the screen. The goal plan is now published and ready to be used by workers and managers.
