Working with talent review templates
The Talent Review Templates page lists every talent review template your organization has created. From there, template owners can follow the progress of each talent review, edit a draft, revise and republish a template while the review is in progress, close a review once calibration is finished, and consult the configuration of a closed review. Closing a review is the step that calculates and locks one final rating for every worker, ready for reporting, succession planning, and compensation decisions.
This article describes how to manage existing templates. To learn more about configuring and publishing a new template, see Creating a talent review template. You can also read our Talent Review for managers and Talent Review for HRBPs articles, where we describe how managers and Talent HRBPs rate and calibrate workers in the Planner.
Talent Review Templates page
At the top of the Talent Review Templates page, three summary cards show the total number of Talent review templates, as well as how many are currently In progress and how many are still in Draft.
Below the cards, a paginated table lists the templates with the following columns:
Name: The name of the talent review template.
Published date: The date on which the template was first published. This column is empty for drafts.
Owner: The template owner or owners.
Nb of workers: The number of workers enrolled in the review.
-
Status: The current status of the template:
Draft: The template is being configured and is visible only to its owners.
In progress: The template is published, and managers and Talent HRBPs are working on it.
Closed: The review is finished, final ratings are locked, and everything is read-only.
The Create talent review template button in the top-right corner of the table is only displayed to users with the Talent Review professional role.
The figure below illustrates the Talent Review Templates page, with templates in all three statuses:

To act on a template, click the three-dot icon at the far right of its row. The actions offered depend on the template status, and are only available to the template's owners:
The Edit action opens the template for editing. It is available for templates in the Draft or In progress status.
The Close action closes the talent review process and calculates final ratings. It is available for templates in the In progress status only.
The View action opens the template configuration in read-only mode. It is available for templates in the Closed status.
Editing a talent review template
To edit a template, click the three-dot icon at the far right of its row on the Talent Review Templates page and select Edit. What you can change depends on whether the template has already been published.
Editing a draft
A draft can be reopened and edited at any point, across all wizard steps. No validation is applied when you click Save as draft, so you can save partial progress at any time. The template stays in the Draft status until you publish it.
Editing a published template
A template in the In progress status can still be revised while managers and Talent HRBPs are working on it. The Edit talent review template form opens with Cancel and Republish buttons in the top-right corner:

Existing participants and their progress are always preserved, so nothing already entered by managers or Talent HRBPs is disturbed.
The following table summarizes what can and cannot be changed once a template is published:
Area |
What you can change |
What you cannot change |
|---|---|---|
Details |
Name, description, and owners. |
– |
Translations |
All translations. |
– |
Population |
Extend the population, for example, by adding a population or including more workers. |
Remove populations or workers already enrolled. The population can only grow. |
Axis configuration |
Grid names and descriptions, axis names, level names, cell headers and labels, and colors, on both grids. |
The structure of the grid, namely the number of levels and cells. A published second grid cannot be turned off. |
Questionnaire |
Add new questions, edit question text and answer options, reorder questions, and change the mandatory flag. |
Delete a published question or change its Answer type or Response permission. |
Your changes reach the review only after you republish the template. To do so, click Republish and confirm in the dialog.
If the template cannot be republished, a message explains what needs to be fixed, for example, a population that was reduced, missing default-language content, or incomplete grid settings. Correct the issue in the relevant step, and then click Republish again.
Closing a talent review
While a review is in progress, nothing is final. Managers can rate, save, and submit at any time. Talent HRBPs can calibrate and submit independently of where managers have reached. Owners can still adjust the template and republish it. Closing the review ends this stage and locks the results.
To close a talent review, proceed as follows:
On the Talent Review Templates page, click the three-dot icon at the far right of the row of a template in the In progress status and select Close.
Read the dialog carefully. It states that closing the process will finalize ratings, prevent further submissions, and make the review read-only for all participants.
Click Close to confirm.
Final rating calculation
When a review is closed, the system calculates one final rating for each worker using the most authoritative rating available. An HR rating always takes precedence over a manager rating, and a submitted HR rating takes precedence over an HR draft:

Talent HRBP submitted a rating |
Talent HRBP has a draft rating |

For a template with two grids, the same logic is applied independently to each grid.
Post-closure behavior
Once a review is closed:
A Closed badge marks the review in the template list and on the review page in the Planner.
The review becomes read-only for everyone, including owners, managers, and Talent HRBPs. No one can edit, rate, submit, or republish the review.
Final ratings are locked and available for reporting, succession planning, and compensation decisions.
A manager who did not submit their rating can still see their unsubmitted draft, and both roles can see all questionnaire answers. The Talent HRBP's identity also becomes visible to managers.
Viewing a closed talent review template
To view the configuration of a closed review, click the three-dot icon at the far right of its row and select View. The View talent review template form opens, where you can browse all the steps (Talent review details, Population, Axis configuration, and Questionnaire) as they were configured when the review was closed. The steps are read-only.
The form looks as follows, with Exit as the only action available in the top-right corner:
