Response automation
The Response Automation page lets you configure automatic document generation and automatic close & release for pay information requests, reducing the manual effort otherwise needed to process them individually or through bulk actions.
Response automation is disabled by default. It consists in two independently configurable capabilities: Automatic document generation and Automatic close & release. The page allows you to enable them separately or together. For instance, you can automate document generation while still leaving close and release as a manual HRBP action, or enable both for fully automated processing.
Automatic document generation
Check Enable automatic document generation for incoming pay requests to reveal the rest of this section, as shown in the following figure:
Automatic document generation section
Under Request creation type, choose one or more of Worker, HRBP, or API to scope automation to how a request originates. This field is required once automatic document generation is enabled.
Under Manage documents already attached to the request, select Keep attached documents to leave a document already attached to the request untouched, or Overwrite existing documents to have automation regenerate and replace it. Keep attached documents is the default.
Under Action trigger options, decide whether generation starts Immediately after request creation/import or a chosen Number of days after request date. In the latter case, enter the Days offset, a whole number between 1 and 299.
A Mapping configuration required banner reminds you that automation depends on it. A mapping must exist for a worker, connecting the data snapshot, document template, and communication round to use. Otherwise, automated generation will not complete for the worker.
Automatic close & release
Check Enable automatic close and release to see the rest of this section, as illustrated below:
Automatic close & release section
This capability is independent of automatic document generation. It triggers once a document becomes available for a request, whether the document was generated automatically or attached another way.
Under Action trigger options, select Immediately after document generation (automatic) or a chosen Number of days after document generation (manual and automatic), with the same 1–299 Days offset field as above.
Handling of failed automated actions
Both sections include the same Auto-retry attempt limit for failed actions option. Choose Unlimited attempts or Limit auto-retry attempts. If you limit them, enter the number of attempts in Auto-retry attempts for failed actions, a whole number between 1 and 100.
Only one retry attempt is allowed within a 24-hour period for a given request. For example, if the retry-attempt limit is set to 7, the system can retry the failed action once per day for up to 7 retry attempts. This gives you time between attempts to correct an underlying issue, such as a missing mapping configuration or an invalid template. Once the configured limit is reached, the system stops retrying automatically, and the failed action requires manual investigation.
Interaction with a round's workflow
Response automation respects the workflow configured for the target communication round.
If the round does not require a workflow, an eligible request can be generated, closed, and released automatically with no HRBP involvement.
If the round has a workflow requiring HRBP review, automation can still generate the document and close the request, but the document is not released automatically. The request moves to Pending release instead, and the document follows the configured review workflow. An HRBP must then complete the review and release it manually, the same way as for a manually processed request.
Global and local rules
The above-described settings apply globally by default. To override them for one or more countries, go to the following Local rule definition section:
Local rule definition section
Proceed as follows:
-
Click the Add local rule button. A drawer will slide from the right side of the screen, as you can see below:
Add local rule drawer
From the Location drop-down list, select the countries the rule applies to.
Configure the same Automatic document generation and Automatic close & release options scoped to those countries.
Click Save in the bottom-right corner of the drawer to confirm.
Your local rules are then listed in a section table. Each table row shows the covered countries under Location, and the configured values grouped under two column headers, Document generation and Close & release, each broken down into:
Creation type: Worker, HRBP, or API.
Delay (days): Instant generation or Instant release when the corresponding action is set to trigger immediately, or the configured number of days in other cases.
Retries: Unlimited or the configured retry-attempt limit.
Click the three-dot icon at the end of a row for the following actions:
Edit, which opens the Edit local rule drawer. Here, you can adjust any of the fields.
-
Copy, which opens the Copy local rule drawer. For example, this option can be used to apply the same configuration to a different set of countries.
For both these actions, click Save, or Cancel to discard your changes
Delete. When a confirmation dialog appears, click Delete to remove the rule, or Cancel to keep it.
Monitoring and auditability
You can review the outcome of automated executions and export logs for troubleshooting using the Automated Action Monitoring page. Every action performed as part of response automation is also recorded distinctly in the pay information request's Audit trail. As a result, users can distinguish it from anything done manually.
